Moving off spreadsheets in a week
Spreadsheets got you here. Moving to a proper system does not have to take months. A practical plan for a one-week move, with the checks that matter.

Spreadsheets are where most businesses start, and there is no shame in that. They are flexible, everyone knows them, and they cost nothing. The trouble starts when three people edit three copies, formulas break silently, and nobody can say what the real stock or the real balance is.
Moving to a proper system sounds like a big project. For most small businesses it can be done in a week, if you keep it simple.
Day 1: list what you really use
Open every spreadsheet the business runs on and write down what it holds: customers, suppliers, items and prices, stock, open invoices, employees. Ignore the old tabs nobody has opened in a year.
Day 2: clean the lists
Remove duplicates, fix obvious typos, fill in the missing phone numbers you can. Do not aim for perfect — aim for "good enough that we trust it".
Day 3: choose your cut-over date
Pick a clean date, ideally the start of a month. Everything before it is history; everything from it happens in the new system.
Day 4: import and check
Import customers, suppliers, items and opening balances. Look at the preview before you commit, read the error report, and fix the rows it flags. If something goes wrong, undo the import and run it again.
Day 5: reconcile
Compare the opening balances in the new system with your last trial balance and your stock count. They should match. If they do not, find out why now — not at the year end.
Days 6 and 7: run a real week
Issue real quotes and invoices, record real payments, and keep the old spreadsheets read-only for reference. By the end of the week, the team will stop opening them.
How Kluvan helps
Kluvan's import tools detect your columns, show findings and a dry run before anything is written, spot the same file imported twice, and let you undo an import for 30 days. Customers and suppliers come with their opening balances; stock comes with opening quantities.
If you would rather we do it, our migration packages move you in online and end with a reconciliation report you sign off. Import profiles for Zoho, Odoo, QuickBooks, Daftra, Wafeq and Tally exports are coming soon.
