What a connected business looks like

The same five steps happen in every service and trading business every day. Here is what changes when each step picks up where the last one stopped.

Five small scenes — chat, proposal, work, invoice, payment — joined by a glowing line

Watch any small business for a day and you will see the same loop. A customer gets in touch. Someone sends a quote. The work gets done. An invoice goes out. The money arrives — eventually.

The loop is simple. What makes it hard is that each step usually lives in a different place: the enquiry in someone's phone, the quote in a document folder, the job on a whiteboard, the invoice in the accounting software and the payment in the bank's website. Every hand-over is a chance to copy something wrong, forget something, or lose a day.

Where the time goes

When we talk to owners, the same moments come up again and again:

  • A quote was accepted, but nobody started the job because the message sat in one person's inbox.
  • The job was finished, but the invoice went out two weeks later because nobody told accounts.
  • The invoice was paid, but the customer was still chased because the payment was not matched.

None of these is a big failure. Together they cost days every month, and they make customers feel that the left hand does not know what the right hand is doing.

One step picks up where the last one stopped

A connected business is not one with more software. It is one where each step starts from the record the last step left behind. In Kluvan that means:

  • An enquiry becomes a deal on the customer's record in CRM, with an owner and a next step.
  • The quote goes out from Books and the customer accepts it by link; the name and the time are recorded.
  • The accepted work becomes a project or a field job, with tasks, time and materials.
  • The invoice is raised from the project — by milestone, progress or time and materials — and keeps its link to the work.
  • The payment is recorded against its invoices and matched to the bank statement.

Some pieces are still on the way, and we label them: the shared WhatsApp inbox and the Collections app for overdue invoices are in early access.

Where to start

You do not have to connect everything on day one. Pick the hand-over that hurts most — for many businesses it is quote to job, or job to invoice — and connect that first. When it runs smoothly, add the next step.

That is also how Kluvan is sold: apps on their own, or a bundle when you are ready for the whole loop.
